Scan Page

Sections

Toolbar

The toolbar holds all of the function keys necessary to scan or import documents.   Hover over a button for its name. To start, only buttons necessary during the scanning activity are active.
View or Change Scan Settings CTRLPlusE Opens the Scan Settings Dialogue.   Scan settings will rarely need to be changed. Do not make any changes unless necessary. See Change Scan Settings for information.
Scan One Sheet CTRLPlusS Scan only the first sheet in the Automatic Document Feeder (ADF) .
Scan All Sheets CTRLPlusO Scan all sheets loaded in the ADF.
Create Job CTRLPlusSHIFTPlusC Save all scanned documents to a folder and sends it to the next activity.
After documents are scanned, additional options become available to move between documents and pages.
First Document CTRLPlusF Open the first document in a folder.
Previous Document CTRLPlusSHIFTPlusP Open the previous document in a folder.
Next Document CTRLPlusP Open the next document in a folder.
Last Document CTRLPlusSHIFTPlusF Open the last document in a folder.
Delete Document DELETE (when document is selected) Delete all pages in the selected document.
First Page CTRLPlusA Open first page of the selected document.
Previous Page CTRLPlusSHIFTPlusB Open previous page of the selected document.
Next Page CTRLPlusB Open next page of the selected document.
Last Page CTRLPlusSHIFTPlusA Open last page of the selected document.
Delete Page DELETE (when page is selected) Delete the open page of the selected document.

Electronic Case File Folder

All scanned and imported documents are listed in the Electronic Case File Folder. The documents are listed until the job is created, and a new job is started.   Do not leave the Scan page while documents are listed in the Electronic Case File Folder. If you leave the page while a documents are listed in the Electronic Case File Folder, they will be lost as the job was not created.   Right click on a document to see adjustment options during scanning or document review.

Folder Information

Documents scanned or imported in the same job, move through ECF Capture activities as a folder. Documents in the folder share the properties below. Only Received Date can be set for each individual document during Indexing.

Document Type

The Document Type determines how the scanned folder is routed through the work queue.

Document Type Default Priority

Description

Scan First CDPU 2 Scanned locally and indexed at the CDPU using the Scan First workflow.
Scan First Local 2 Scanned and indexed locally using the Scan First workflow.
Scan First Returned Mail 7 Same as Scan First CDPU, but marks the document as a lower priority for indexing.
Process First CDPU 3 Scanned locally and indexed at the CDPU using the Process First Workflow.
Process First CDPU Priority 6 6 Same use as Process First CDPU, but marks the document as lower priority for indexing. This is used only for indexing backlogged documents.
Process First Local 5 Scanned and indexed locally using the Process First Workflow.
Process First OIG 6 Used by the CDPU for Office of Inspector General documents.
Fax CDPU 2 Assigned to all incoming faxes received by the CDPU
Fax MDPU 2 Assigned to all incoming faxes received by the MDPU
Priority Priority is numbered from 1 - 10 with 1 being the highest priority and 10 being the lowest. Priorities are tied to Document Types and can only be adjusted by CDPU and MDPU managers.   Documents are sorted in the Work Queue by Priority and then Capture Date.
Received Date The date the document being scanned was received.   The Received Date can be up to 180 days in the past.
Folder Name A unique folder name is assigned to each group of documents that are scanned together. It is automatically generated by ECF Capture when the Scan page is opened.   The folder name includes the date and time the documents were scanned and the location where the scan took place.

Document View

Document pages are visible in this area. Select a document in the Electronic Case File Folder, or a page from the Thumbnails to view the page.
Zoom In CTRLPlus+ Zoom in on a document.
Zoom Out CTRLPlus- Zoom out on a document.
Lasso Zoom CTRLPlusL Select a rectangle to zoom in on that area.
Best Fit CTRLPlusOne Fit page to view area by width and height.
Fit Page to Width CTRLPlusTwo Fit page to view area by width.
Fit Page to Height CTRLPlusThree Fit page to view area by height.
Rotate View Left CTRLPlusSHIFTPlusLeft Arrow Rotate the page in the viewer 90° to the left. This does not change any document properties.
Rotate View Right CTRLPlusSHIFTPlusRight Arrow Rotate the page in the viewer 90° to the right. This does not change any document properties.
Rotate View 180° CTRLPlusSHIFTPlusUp Arrow Rotate the page in the viewer 180°. This does not change any document properties.
Revert View CTRLPlusSHIFTPlusDown Arrow Undo all changes made with the Rotate View buttons and return to the original orientation.
Rotate Displayed Image Left CTRLPlusG Rotate the page 90° to the left. This will be saved to document properties when the task is marked as complete.
Rotate Displayed Image Right CTRLPlusSHIFTPlusG Rotate the page 90° to the right. This will be saved to document properties when the task is marked as complete.
Rotate Displayed Image 180° CTRLPlusM Rotate the page 180°. This will be saved to document properties when the task is marked as complete.

Thumbnails

This section shows a small image of each page within the scanned or imported documents. The pages for a document are listed as a single line. Scroll right and left to view additional pages in a document. Scroll up and down, or select a document in the Electronic Case File Folder to see pages in other documents.   Right click on a page to see adjustment options during scanning or document review.
